New Officer Procedures

There are a lot of places that should be updated when a Officer is promoted or steps down from leadership. Here is a quick checklist to help keep things up to date.

In-game Roster:

This one is easy, just don’t forget to promote all of their alts and note if applicable.

Online Roster:

As always the most important section for tracking the historical record for your realm and the guild is the online roster. The online roster will be around long after your game has been put to rest so keep it updated.

How to promote them on the online roster:

– Officer Login
– Find the Member
– Edit Members Profile
– Gray button “Promote Officer”
– Select new rank and who performed the ceremony.

Online Roster Login Permissions:

Officers need to be able to view and add officer notes, recent history and help maintain the roster. The Branch Leader and HC can create an Officer login for the new Officer.
– Officer Menu
– Officer Management
– A gray “create password” button will allow you to assign a temporary password, which will add permissions for login.
– Their username is the NORname displayed on the roster.

Discord:

Change their “epi signature” to their new rank and adjusting their “roles” setting to the new rank and uncheck the old rank.
– The “Leader” role is for special circumstances when a non active officer needs leadership roles, for example an Emeritus who would like to keep in the loop of the guild politics.

Discord Announcement:

Be sure to announce promotions on the guild promotion channel so we can all congratulate our new hard working officers, and give them a shout in leadership channel.

Discord Private Officer Group:

Most of the realms have a separate chat where they can communicate about who needs tagged and promoted. Add and subtract your officers as they change.

Website Realm Page:

The website features a splash page for each of our active realms. Please update it with realm officer contacts and any information a potential member might be interested in.

Forum Permissions:

If we ever start getting players back into forums, we can adjust Rank and move players to a officer group so they can moderate the forums. how to change permissions

If the officers leaves the guild or goes back to members status, be sure we reverse all these steps.
