New Recruit Procedures
Application Process
The potential new recruit has found our newoutrides.org/join web page either by referral or some recruitment post. So what is next?
First up before the application is even filled out, some games require a unique handle for tagging for sending messages to players. So Branch Leaders have the option on the realm menu page to request any special requirements needed to find a player in their game. This request will show up right in the player’s application under the requested alts section.
The player has now filled out their application, Great! An email is automatically sent to the HC application mailbox with all the information from the application. If you are expecting the app you can refresh the officer menu page and it will show up there as soon as the application is filled out and submitted. Otherwise when the email is received in the mailbox, one of the HC members will notify the Discord Leadership channel of its arrival.
Now you must Log into the Officer Menu officer login and view the application. There you will have 3 options to choose from.
* “Delete” it goes away as if it never arrived, this is normally for duplicates.
* “Decline” The denied player will receive an email thanking them for their time, but at this time the application was not accepted, with a list of possible reasons.
* “Accept” this will send the player a short email stating their acceptance to the guild, with a link to the Welcome Letter – New Outriders. Branch Leaders also have an option in the acceptance e-mail to leave a customized realm message for their new recruits, which can be created on the realm edit page.
One additional confirmation page is needed after the recruit’s app is accepted, this confirmation page allows you to make any last minute changes to their Main NORname, it lets you confirm the list of alts (incase it is a rambling sentence), and it does some back end updates to their contact and profile history. The recruit will not show up on your realm roster until the this final confirmation is completed.
Accepting the Application
The new recruit has filled out a worthy application, “Accepting” it is going to let them know we have received their interest and gives them a way to contact us through discord or the forums. If we do not accept the application quickly then they are stuck in a limbo of not knowing if we even received the information or if we are interested in them joining our community.
If you are the one to accept the application, be sure to let your fellow Realm Officers know, so they can help look for the recruit either by sending them tells in-game, adding them to a in-game friends list or watching for them to make contact in one of our out of game methods (Discord). Most of our realms have set up a private Discord group for its Realm Officers to discuss their day to day activities for events like this. Be sure to note somewhere that they still need tagged in-game, if your unable to find them in a timely fashion.
At this point they should now show on your online roster as a recruit. If days go by and the player is never found in-game, their profile standing can be updated to “Not Tagged”, this will remove them from the roster, but they will continue to be accessible in the database if they are eventually found. If they were to re-apply in the future, we can reactivate their old profile and delete their new duplicate application.
Discord
Add a check mark or thumbs up to the @realm application notification in the Discord Leadership channel, this will let your fellow officers know someone has read the application and taken steps.
The new recruit has now made it to our Discord server, /cheers! When they first arrive, they have no permissions and can only read the information channel and speak in the welcome channel. So you will need to change their role.
* Select their name or Right-click
* Manage
* Edit Roles
* Role Check marks: “Recruit” and their “Realm Abbreviation”.
Next is to update their Server Profile Name. We want their discord name to match their NORname so we can easily identify everyone and be consistent with the online rosters and in-game rosters. This will only change this NOR server and will not effect their other servers. (The Why behind profile names)
* Right-Click their name
* Change Nickname
* Enter “NORname, (Rank) [Home Realm]“
Forums
The welcome letter will provided a link to our forums and provides the registration code to create an account. Unfortunately due to the amount of bots in this world newly registered members automatically have their account suspended until a forum moderator activates it. So reach out to the Leadership channel if you need someone to activate it.
